Privacy Policy

Last updated: 14 October 2026

OKI International School (“OKI”, “we”, “us”) respects your privacy. This policy explains what personal information we collect from parents, guardians, students and visitors, how we use it, who we share it with and the choices you have. It applies to our website (okischool.lk), our enquiry and admission forms (including forms on Facebook and Instagram), and our communications by phone, email, SMS, WhatsApp and Messenger.

We handle personal data in line with Sri Lanka’s Personal Data Protection Act, No. 9 of 2022.

2. Information we collect

Information you give us

  • Admission and enquiry forms (on our website, Facebook or Instagram): parent or guardian’s full name, phone number and, where asked, email address; the grade your child is applying for; preferred curriculum (Cambridge or National); the area you live in; and the best time to call you.
  • Applications and enrolment: details needed to assess and admit a student, such as the student’s name, date of birth, previous school and academic records, and parent or guardian contact details.
  • Messages and calls: anything you tell us when you contact us by phone, email, WhatsApp, Messenger or in person.

Information collected automatically

  • Website usage: we use Google Analytics to understand how visitors use our website (for example, pages viewed, device type and approximate location). This uses cookies. See section 8.
  • Advertising platforms: when you submit a form inside a Facebook or Instagram ad, Meta passes the information you entered to us, along with which ad and form you used. We do not receive your Facebook password or private messages to others.

3. How we use your information

  • To respond to your enquiry and call you about admissions at the branch you contacted.
  • To arrange school visits and assessments, and to process applications and enrolment.
  • To send you information you asked for, such as fees, intake dates and open days.
  • To run and improve our website and advertising, for example by measuring which ads lead to enquiries and by not showing admission ads to families who have already applied.
  • To meet legal and regulatory obligations.

We use your information because you asked us to contact you, because it is needed to take steps toward enrolling your child, because we have a legitimate interest in running and promoting the school, or because the law requires it. We will ask for your consent where the law requires it, and you can withdraw consent at any time.

4. Children’s information

Our enquiry forms are meant to be completed by parents or guardians, not by children. We only collect details about a child (such as the grade applying for) from their parent or guardian, and only as needed for admissions.

5. Who we share it with

We do not sell your personal information. We share it only with:

  • OKI staff at the branch you enquired about and our head office, who need it to handle your enquiry or application.
  • Service providers that help us operate, under our instructions: Meta Platforms (Facebook and Instagram forms and ads), Google (Google Workspace and Sheets to store enquiries, and Google Analytics), our website hosting provider, and phone and messaging services.
  • Authorities where the law requires us to.

Some of these providers store data outside Sri Lanka. When this happens, we rely on the provider’s own safeguards and contractual commitments to protect it.

6. How long we keep it

  • Enquiries that do not lead to enrolment: up to 24 months after our last contact with you, then deleted.
  • Applications and student records: for as long as the student is with us and afterwards for the period required by law and our school record-keeping rules.

7. How we protect it

Access to enquiry and student information is limited to staff who need it. We store digital records on password-protected accounts and keep paper records secure. No system is completely secure, but we work to protect your information and will act promptly if a problem occurs.

8. Cookies

Our website uses cookies. Essential cookies make the site work. Analytics cookies from Google Analytics help us understand how visitors use the site. Our pop-up and enquiry tools (such as OptinMonster) may also use cookies to remember whether you have already seen or closed a message. When you first visit, our cookie banner lets you accept or reject non-essential cookies, and you can change your choice at any time. You can also block or delete cookies in your browser settings.

9. Your rights

You can ask us to:

  • tell you what personal information we hold about you or your child and give you a copy;
  • correct information that is wrong or incomplete;
  • delete your information, or stop using it, where we no longer need it or you withdraw consent;
  • stop contacting you about admissions or marketing.

To make a request, email info@okischool.lk or call +94 11 2930016. We may need to confirm your identity first. We will reply as soon as we can, and within the time the law allows. If you are not satisfied, you may complain to the Data Protection Authority of Sri Lanka.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
